    Webespoke AI ("we", "us", "our") provides AI automation software and services, including the WEBEE product ecosystem (WEBEE Receptionist, Builder, Lead Gen, Qualify and Smart Dash). This policy covers the website at www.webespokeai.com and the forms, demos and voice interactions available on it.

    For data you submit through this website, Webespoke AI acts as the data controller. Where we process data on behalf of a customer inside their WEBEE workspace, we act as a processor under that customer's own agreement with us.

    Information you give us through forms

    When you request a demo, start a free trial, request a quote or contact us, we collect the details you enter, which typically include your name, business email address, phone number, company name and anything you tell us about what you are interested in.

    We use this information to respond to your enquiry, arrange demonstrations, provide quotes, and set up and support trials or accounts.

    AI and voice demo interactions

    This website offers a live voice demo with our AI agent, Ava. If you choose to start a call, your browser microphone is used only while the call is running and only with your permission. Audio is streamed to our voice infrastructure provider so the agent can understand you and reply.

    Call audio, transcripts and any details you share during a demo call (for example a name, email address or preferred appointment time) may be retained so we can follow up on your enquiry, confirm bookings and improve the quality of the service. Please do not share sensitive personal information during a demo call.

    Analytics, advertising and attribution

    We use analytics and advertising tools to understand how the website is used and how visitors find us. This includes Google tags used for conversion measurement in Google Ads, and attribution parameters such as UTM tags and click identifiers that may be stored in your browser and attached to a form submission.

    Depending on the tool, this may involve information such as your approximate location, device and browser type, referring website, pages viewed and interactions with the site. We use it to measure campaign performance and improve the website.

    Cookies and similar technologies

    Lead and CRM processing

    Marketing communications

    If we send you marketing emails, every message includes an unsubscribe link and you can opt out at any time. Opting out of marketing does not stop service messages that relate to an active enquiry, trial or account.

    Data retention

    We keep enquiry and CRM records for as long as needed to deal with your enquiry and for a reasonable period afterwards for business records, then delete or anonymise them. Analytics data is retained according to the retention settings of the platform used. Customer workspace data is retained in line with the customer's agreement with us.

    Security

    We use technical and organisational measures appropriate to the risk, including encrypted connections, access controls on our systems, and spam and abuse protection on our forms. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

    Your rights

    Subject to applicable law, you may have the right to access a copy of your personal data, to have inaccurate data corrected, to request erasure, to restrict or object to certain processing, to data portability, and to withdraw consent where processing is based on consent.
